SUMMARY: The goal of this position is to support the HR Substitute Coordinator and Frontline - Absence Management system for guest employees and time off for employees. Assists the department in database management for employee training tutorials and the employee evaluation system. Assists with the onboarding of all guest employees and other projects and duties as assigned.

Substitute/HR Coordinator Responsibilities:
  • Meet with all new guest employees, collect and review paperwork. Processing of I-9 verifications and E-verify system. Ensures proper clearance of new hires regarding background screening, physical, transcripts, proper licensure and completion of all employee's forms.
  • Enters all new guest employees into Frontline - Absence Management and notifies them of their login into the system.
  • Updates the Frontline - Absence Management system with employee changes, building assignments, teaching assignments. Also updates, name, address and telephone changes for employees in Frontline - Absence Management.
  • Aesop Help Desk Coverage: replies and responds to questions/concerns directed to the Aesop Help Desk via phone and email.
  • Back up to the Aesop Substitute Coordinator when absent.
  • Maintains the Global Compliance Network training for all staff. Processes the set-up and termination of all employees and guest employees in the online training. Audits the system for completion of trainings. Archives the GCN system at year end. Updates the tutorials for the new fiscal year for the on-line training.
  • Responsible for the maintenance, updates, lottery draw and distribution of the CEA Seniority List/Book.
  • Responsible for the archiving of termination files for the department. Additionally, pulls, preps and scans all of the termination files at year end.
  • Database management for the Talent Ed evaluation system
  • Processes unemployment claims and payments to the state.
  • File clerk for the department.
  • Other duties and projects as assigned.SKILLS AND EXPERIENCE REQUIRED:
    • HS diploma required, Bachelor's degree preferred
    • 1-2 years of experience in Human Resources preferred
    • Strong organizational, interpersonal, problem-solving and multitasking skills
    • Above average oral and written communication skills
    • Maintain positive attitude at all times
    • Demonstrate effectiveness in working independently and in a team environment
    • Maintain accurate and thorough records; detailed oriented
    • Strong proficiency with Microsoft Word, Excel, Google and HR/IS systems
    • Knowledge of Illinois certification/licensure requirements
